Popular BG Admin Features

You must be logged into the BG Admin CommPortal in order to perform these functions.

Change the Auto Attendant Click the “Auto Attendant” section from the left side of the admin window. Click the ‘+’ next to the Auto Attendant telephone number. Refer to the BG Admin User Guide for instructions on Auto Attendant settings.
Change the recorded names in the Auto Attendant directory Click the “Auto Attendant” section from the left side of the admin window. Click the ‘+’ next to “Extensions” and select the extension you wish to change. Click the “Browse” button to select the new recording. Then click “Save” to make it available on your Auto Attendant directory.
Change the first name or last name in the Auto Attendant directory The Auto Attendant name is linked to the CommPortal. Refer to instructions on how to change the name associated with a telephone number. Changes will not be reflected in the Auto Attendant until after the nightly update.
Change the Auto Attendant announcement Click the “Auto Attendant” section from the left side of the admin window. Click the ‘+’ next to the Auto Attendant telephone number. Click the ‘+’ next to “Announcements” and select the announcement you wish to change. Click the “Browse” button to select the new recording. Then click “Save” to make it available on your Auto Attendant directory.
Change the Auto Attendant Click the “Auto Attendant” section from the left side of the admin window. Click the ‘+’ next to the Auto Attendant telephone number. Refer to the BG Admin User Guide for instructions on Auto Attendant settings.
Access a user’s CommPortal settings Search for the user’s telephone number in the “Lines” section. Then click the window icon (rectangle with an arrow) on the right side of the row.
Reset a user password Access the user’s CommPortal (above) and go to “Settings”. Under the “Security” tab, change the password. Click “change password”.
Change the name associated with a telephone number Access the user’s CommPortal (above) and go to “Settings”. Under the “Preferences” tab, change the Line name. Click “Apply”.
Do Not Disturb (DND) / Forward a telephone number to voice mail Access the user’s CommPortal (above) and go to “Settings”. Under the “Preferences” tab, change the Voice Mail Preferences to 0 seconds. Click “Apply”.
Remove DND Access the user’s CommPortal (above) and go to “Settings”. Under the “Preferences” tab, change the Voice Mail Preferences to 36 seconds (default). Click “Apply”. (36 seconds is the default setting which is approximately 6 rings.)
Forward a telephone number to another number (such as a cell phone) Access the user’s CommPortal (above) and go to “Call Manager”.
  • For a user with a basic account, click the “Forwarding” tab. Click the check box for “Forward calls immediately” and it will become active. Then enter the “Forward calls to” number. Enter the number as the user would dial it. (Include a ‘9’ if appropriate and/or add a ‘1’ for long distance.) Click “Apply”.
  • For a user with a premium account, click the “Summary” tab. Then enter the “Forward it to” number. Enter the number as the user would dial it. (Include a ‘9’ if appropriate and/or add a ‘1’ for long distance.) Click “Apply”.
Remove forwarding Access the user’s CommPortal (above) and go to “Call Manager”.
  • For a user with a basic account, click the “Forwarding” tab. Click the check box for “Forward calls immediately” and it will become inactive. Click “Apply”.
  • For a user with a premium account, click the “Summary” tab. Then click the radio button next to “Have my pho​ne ring as normal”. Click “Apply”.
Add external speed dial numbers for all users in the Business Group Click the “Short Codes” section from the left side of the admin window. Choose “Add” (lower right side of window) to add a single external speed dial number or “Add Range” to add a group of contiguous speed dial numbers. Enter the telephone number as the user would dial them. (Include a ‘9’ if appropriate and/or add a ‘1’ for long distance.) Click “Add”.
